Approving, pausing and taking over
You're always in control of Claire. This page covers approving her messages, stopping her, and starting her on a contact.
Approving Claire's messages
When a message needs approval, the conversation shows Draft awaiting approval.
- Open the conversation on the Claire page.
- Read the draft. It shows the channel (text or email), the subject for emails, and the message.
- Choose one:
- Approve Draft sends it exactly as written.
- Edit, then Approve & Send, sends your version.
Claire learns from your edits. You'll see what she picked up under My Claire, in What Claire has learned about working with me.
Before sending, Yapii checks the rules again. If the message can't go out (for example, the contact opted out, or it's outside texting hours), you'll see the reason instead.
Why do messages need approval? Because:
- your workspace is set to Hold for approval; or
- the lead is in a group that always needs approval (hot leads, by default); or
- Claire's quality check wanted a person to look first.
Stopping Claire
Everywhere, right now
- Click Pause Claire in the top bar. It's there on every page.
- Type a short reason.
- Click Pause Claire now.
This stops all of Claire's calls, texts and emails across the workspace within seconds. Anyone in the workspace can do this. The button turns red and reads Claire paused, showing who paused her and when.
To start her again, click Claire paused and choose Resume Claire.
If a lead replies while Claire is paused
Yapii creates an urgent hand-off, so a person sees the reply.
Claire also pauses automatically if your workspace runs out of AI credits. She starts again when credits refill on the 1st of the month, or sooner if the owner tops up and resumes her.
On one conversation
Open the conversation and choose:
- Pause to stop Claire on this lead for now. Re-activate Claire starts her again.
- Take Over if you're handling this lead yourself. Claire stops and the conversation is marked as handed to a person.
Give Claire some context
Add Context lets you write a short note (up to 1,000 characters) that Claire uses in her next message. For example: "She's relocating for work in March and wants a 3-bed near the river."
On all of your leads
On the Claire page, open Settings, then My Claire, and turn off Claire works my leads. This only affects contacts assigned to you, and it can't switch Claire on if the workspace has her turned off.
Starting Claire on a contact
One contact: open the contact and click Start Claire (or Re-engage if she talked to them before).
Many contacts:
- On the Contacts page, select the contacts.
- Choose Start Claire.
- Pick Seller or Buyer mode:
- Seller mode focuses on equity, timeline and readiness to sell.
- Buyer mode focuses on what they're looking for, financing and neighborhoods.
Yapii reports how many started, how many already had Claire, and how many weren't eligible.
Claire can't start on a contact who:
- is marked Do Not Contact;
- has no way to be reached, or has opted out of every channel;
- is missing a valid email address or a complete address;
- already has an active Claire conversation.
Why hasn't Claire contacted my new lead?
Check these, in order:
- Is Claire paused? Look for Claire paused in the top bar.
- Is the lead's source switched on? The workspace owner chooses which sources Claire works, on the Claire page under Settings.
- Is a draft waiting for you? In Hold for approval, nothing goes out until someone approves it.
- Is it quiet hours where the lead lives? She'll reach out in the morning.
- Has the lead agreed to be contacted? Is the lead opted out, or marked Do Not Contact?
- Is information missing? A phone number, a valid email or a full address.
- Was today's new-lead limit reached? The lead is first in line tomorrow.
Why did Claire stop following up?
Common reasons:
- The lead replied STOP, opted out, or was added to your suppression list.
- You or a teammate paused the conversation or took it over.
- The lead asked for a call, so Claire waits until after the callback.
- The lead was ready, so Claire handed them to you.
- Your CRM marked them Do Not Contact, or moved them to a stage Claire doesn't work, such as Closed or Appointment Set.
- The lead reached the limit on how often one person can be messaged, so Claire is waiting before the next message.
- Claire is paused, for example because AI credits ran out.
